Housing Agreement & Cancellation Overview

The Residence License and Dining Services Agreement is a legally binding contract for the full academic year. By living on campus, you agree to the terms outlined in the agreement and are financially responsible for housing and dining charges for the duration of the contract.

Leaving your room, commuting or moving off campus does not cancel your housing agreement or financial responsibility.

When Cancellation May Be Approved

Students may only be released from their housing agreement under specific circumstances. All requests must be submitted through the Residential Management System (RMS) and include supporting documentation.

Automatic Release (with verification)

Students will be released from their housing agreement if they are:

  • Withdrawing from the University or taking a Leave of Absence
  • Academically dismissed or suspended
  • Participating in a Study Abroad program
  • Removed from housing through the student conduct process
  • Graduating mid-year (Winter Graduation)

Request-Based Release (Not Guaranteed)

Students may be considered for release for the following reasons:

  • Financial hardship
  • Medical circumstances
  • Other significant situations (with documentation)
  • Approval is not guaranteed. Requests without supporting documentation will not be reviewed.

Important Considerations

  • Submitting a request does not guarantee approval
  • Students remain financially responsible unless officially released
  • Moving out without approval does not cancel your agreement
  • Roommate or building preferences are not considered in cancellation decisions

How to Request Cancellation

Housing cancellation requests must be submitted through RMS.

Additional Notes by Situation

  • Withdrawal or Leave of Absence: Students must complete the official process through the Office of the Registrar. Once approved, Residence Life will be notified and move-out must occur within 24 hours.
  • Study Abroad: Students planning to study abroad must notify Residence Life in advance. Housing will be canceled for the applicable semester.
  • Student Conduct: Students removed from housing through the conduct process will lose their housing assignment and are not eligible for housing or meal plan refunds.
  1. Log into RMS

    Use your NetID and password

  2. Select “Request a Housing Cancellation”

    • Choose your reason and provide a brief explanation
    • Upload all required supporting documentation and submit your request

    Requests that are not fully submitted or missing documentation will not be reviewed.

  3. Requests are Reviewed

    After you submit your request, they will be reviewed by the Office of Residence Life. A decision is typically made within 10 business days.

    You will be notified via email.

    If approved:

    • You will receive move-out instructions and a timeline
    • You must follow proper checkout procedures

    If not approved:

    • You remain responsible for all housing and dining charges for the academic year
  4. Move-Out Expectations (if approved)

    Students approved for cancellation must:

    • Remove all belongings from their assigned space
    • Clean the room
    • Complete the Room Condition Report (RCR)
    • Return all keys to the front desk

    Failure to complete checkout properly may result in additional charges.
