How to Book an Event
Whether you're planning a student organization meeting, department workshop, conference, tabling event or campus celebration, Montclair provides tools to reserve spaces across campus. The reservation process depends on who is requesting the event, so start by selecting the option that best describes you.
Before you begin, it's helpful to have:
- Your preferred event date and time
- An estimated attendance
- A preferred location (if applicable)
- Any setup or technology needs
- Your sponsoring department or student organization
Faculty & Staff
Faculty and staff use 25Live to request classrooms, meeting spaces, outdoor locations and other University venues.
Through 25Live you can:
- Reserve campus spaces
- Request recurring meetings
- Submit event details for approval
- Publish eligible events to the University Events Calendar
Registered Student Organizations (RSOs)
Registered student organizations begin their event request through Engage. After submitting an event through Engage, requests are routed through the appropriate approval and scheduling process, including 25Live when a campus space reservation is needed.
Students
Students looking to reserve meeting space for a class project, organization interest meeting or other approved activity should first determine whether they are reserving on behalf of a registered student organization or a University department.

How Room Reservations Work
No matter how you submit your request, most reservations follow the same process.
1. Plan Your Event
Before submitting your request, gather:
- preferred date and time
- estimated attendance
- desired location
- setup needs
- sponsoring department or organization
Submit requests as early as possible. Most reservations require several business days for review, while large events may require additional planning time.
3. Review & Approval
Your request is reviewed by the appropriate scheduler.
Depending on the event, additional approvals may be required before a space can be confirmed.
4. Confirmation
Your reservation is not confirmed until you receive an approval email or your reservation status changes to Confirmed.
Tentative reservations should not be advertised or promoted until they have been approved.
