About Your ID Card

All members of the Montclair State University community are required to have and carry their University issued ID card while on campus. Besides identifying you as a member of the campus community, University ID cards are used to access: Meal Plans, Flex and Red Hawk Dollars, Residence Halls, entrance into the Student Recreation Center, and more!

New Student ID Cards

All students are required to obtain a University ID card. You must submit your photo to be used for your ID card through the eAccounts. Photos are not taken in the office. Your NetID must have been activated 24 hours prior to being able to log into eAccounts.

Before You Can Begin You Must Claim Your Montclair NetID!

Your NetID is an identification provided to you at the University and will be your primary source of communication and information at the University. To claim your NetID:

  1. Find the email you received (sent to your personal email address on file from netid-admin@montclair.edu) with the subject line of “Activate your Montclair State University NetID.” This message provided personalized and detailed instructions.
  2. Login to NetID Account Management Center
  3. Click “Activate Your NetID Account,” review the policy, complete the verification step, answer a security question and enter your desired password.
  4. Claim Your NetID and wait 24 hours, then log into eAccounts to upload your photo!

Please be sure to follow the guidelines listed in eAccounts for submitting a successful photo. Photos should be very similar to a state ID, passport photo, or high school ID photo. Subtle smiles are permitted.

Photos are uploaded through the eAccounts website or Transact eAccounts mobile app for Apple or Android.

Transact eAccounts Mobile App

  1. Log in with your Montclair NetID and password
  2. Click the “Settings” Gear in the top right corner
  3. Click “Submit ID Photo “
  4. Follow the directions to take or upload a photo

or eAccounts Website

  1. Visit montclair.edu and in the search field type eAccounts and press Enter. Click the eAccounts link.
  2. Once at the eAccounts webpage, log in with your Montclair NetID and password
  3. Click “Profile”
  4. Click “Personal Information”
  5. Scroll down and “Click to submit a new photo”

Photos are reviewed during business days\hours only. An automated email will be sent to you once your photo is reviewed to let you know if the photo has been approved or denied. If the photo is denied, please submit a different photo asap.

Montclair Campus

To pick up your ID card, stop by the office during hours of operation. Make sure to bring two forms of identification, It is mandatory for one of the forms of identification be a photo ID. View the ID Card Guidelines for more information. Pictures of identification are not accepted!

Please Note: If you are a new student residing on campus and moving into housing outside of ID Card Office business days\hours, please email cardservices@montclair.edu no later than two business days prior to your move in date with:

  • Name
  • CWID
  • Residence Hall Name
  • Date and time of move in

Your ID card will be printed and sent to your residence hall for pick up at check in. Your photo must be submitted and approved in eAccounts prior to your email request. Please remember to bring two forms of identification – one form must be a photo ID.

Bloomfield Campus

  • New Bloomfield Campus Residents: You will receive your Montclair ID card at residence hall check in.
  • New Bloomfield Campus Commuters: will receive your ID card at orientation.  If you do not receive your ID card at orientation, pickup is at the Bloomfield Help Desk, 185 Liberty Street Monday-Friday 9 a.m. - 4 p.m.
  • Replacement ID cards are $20.00 and requested through email at cardservices@montclair.edu
    • Include your name and CWID # and indicate this is a replacement ID card

Two forms of identification are required to be shown to receive your ID card. It is mandatory that one form of identification is a photo ID.

Faculty, Staff and Affiliate ID Cards

  • Identification
  • Door access to select buildings and classrooms
  • Memberships and admittance to the Recreation Center and gymnasium
  • Library text and video check out
  • Use of Meal Plans and Red Hawk Dollars accounts
  • Kronos time clocks (select employees)
  • Department photocopy machines

In order to obtain your employee ID card, you will need to meet the following:

  1. Faculty, staff, and University affiliates are able to get their ID card processed 48 hours after their CWID # have been generated and paperwork fully processed through Human Resources. If you are unsure if your CWID has been imported to the card system, email us directly at cardservices@montclair.edu.
  2. Present two forms of valid identification to obtain your University ID Card (one form of photo identification is mandatory). Pictures of identification on cell phones will not be accepted. Actual documents must be presented. For more information, view ID Card Guidelines. Door access privileges automatically update the next day after ID card processing. There is a $20.00 charge for replacement ID cards. Cash and Red Hawk Dollars are accepted for payment. Credit cards are not accepted for payment.

Alumni ID Cards

Alumni members must first register with the Alumni Office prior to getting a University Alumni photo ID card processed. There is a $5.00 charge for the first Alumni card.

Please bring the paper alumni card that will be issued to you from the Alumni Office with you when you come to the ID Card Office. It is also helpful to know your CWID. Replacement photo ID cards for alumni are the current standard fee of $20.00.

You will also need to bring a valid form of photo ID. Pictures on cell phones of identification will not be accepted. Actual documents must be presented. 

ID Card Guidelines

Important – Please do not alter the surface or punch holes in the University ID card.

There is no charge for the first ID card. All replacement cards are subject to a $20.00 replacement fee.

Necessary Requirements:

In order to process your student ID card, you will need to meet the following:

  1. Registered for class(es) 48 hours prior to processing an ID card.
  2. Present two forms of valid, original identification (mandatory – one photo ID) upon receiving the ID card. Examples of accepted identification are:

One from Section A

  • Valid photo driver’s license
  • Valid photo passport
  • Valid photo military ID card
  • Valid state photo ID card

One from Section B

  • Credit\debit card
  • Birth certificate
  • Health insurance card
  • Previous school ID card
  • Signed Social Security card
  • Pictures on cell phones of identification will not be accepted.

Rules

  • ID cards are not transferable and will be confiscated if you are found using someone else’s ID card. Violators are subject to judicial action and/or fines of $50.00 or more.
  • The University ID card must be used to access all services affiliated with the University at all times. This includes meal plans, dorm access, printing labs, etc.
  • Freezing your ID card as soon as it is lost or stolen will prevent unauthorized spending on your accounts. Log into the eAccounts website and click on the “Card Services” section to be prompted to deactivate your ID card. Make sure to deactivate all card numbers listed.
  • ID cards can only be unfrozen in person at the ID Card Office.
  • All Montclair State University ID card holders are responsible for unauthorized spending on accounts due to lost/stolen ID cards not frozen.
  • Replacement ID card charges cannot be refunded.

Disable Lost or Stolen University ID Cards!

Use the eAccounts website or download the Transact eAccounts mobile app on the Apple store or Google Play to disable lost or stolen ID cards 24/7. Mark all card numbers listed as lost. All cardholders are responsible for unauthorized spending on accounts due to lost or stolen ID cards not disabled.

A replacement fee of $20.00 is charged in order to obtain a new card. Do not punch holes in or alter the ID card in any way as this can damage the electronics and/or magnetic stripe of the ID card. Students can pay with cash, Red Hawk Dollars or have the charge billed to their student billing statement on NEST. All other cardholders must pay cash or Red Hawk Dollars at the time of requesting a replacement ID card. Debit or credit cards cannot be accepted for payment.

Lost, stolen or damaged cards can only be replaced and reactivated in person at the ID Card Office.

Freeze Lost ID Cards on eAccounts to Prevent Unauthorized Spending

All Montclair State University ID Cardholders are responsible for unauthorized spending on accounts due to lost/stolen ID cards not frozen. ID cards can only be unfrozen in person at the ID Card Office.

Helpful Hints for a Great Photo

  • Take a selfie or have someone take great photo of you! (Color photo only, no filters or retouching permitted).
  • Crop from just above the top of your head to your shoulders. (Important – do not crop off any part of your head or the photo will be rejected!)
  • Look straight ahead into the camera.
  • Hats, sunglasses, emojis, hands, hair, making faces, or anything obstructing or touching your face is not permitted.
  • You must be the only person in the photo.
  • Use a flash to eliminate shadows on your face.
  • Stand against a light colored wall for the background.
  • Think of a driver’s license/passport photo but with a smile!

Red Hawk Dollars

Your all-access pass to easy and convenient spending at Montclair State University! With your University ID Card, you can effortlessly purchase what you need both on and off-campus.

How It Works

Red Hawk Dollars are a pre-paid debit account linked to your Montclair ID Card. It’s like having your own campus currency, making buying items simple and cash-free.

  • Spend them at the University Bookstore, Dining Services, vending machines, and even select off-campus locations.
  • Your funds carry over from semester to semester and year to year, until you graduate or withdraw.
  • $1.00 US dollar equals 1 Red Hawk Dollar.

How to Get Started

  • Deposit Funds: Add money to your account via cash, check, credit card, or student account credit transfer (from loans or financial aid).
  • Start Spending: Use your ID card to purchase books, supplies, clothing, food, snacks and more.
  • Stay In Control: Check your balance, freeze a lost/stolen ID, or add more funds using your University NetID and password on the eAccounts website or Transact eAccounts app (available on the Apple Store and Google Play).

How to Transfer Credit to Red Hawk Dollars

  1. Log into NEST: Once you reach the NEST home screen, click “log in” and enter your University NetID and password. If you have not yet created your NetID or have forgotten your password you can visit the University NetID web page.
  2. Navigate to TouchNet: Once you’ve logged into NEST click on My Accounts and then Statements.  
    • On this page, you will be able to determine whether you have credit that can be transferred into Red Hawk Dollars. To transfer funds, you need to have credit available in your account.
  3. Check Your Account Balance & Transfer Funds: Credit in your account would be reflected in your “Account Balance.” If you have money that is available to be transferred into Red Hawk Dollars, you will see a minus sign next to an amount in that section. For example, if you see “-$300.00” in the last section that says “Account Balance”, then that means you have $300.00 available to be transferred into Red Hawk Dollars.
    • If you choose not to transfer those funds, they will be sent to you in the form of a refund from the University through either check via mail or direct deposit.
    • Your Title IV Statement must be "authorized" in order to transfer credit from your student accopunt to Red Hawk Dollars. If your Title IV Statement is not authorized, your credit transfer request will be denied. Use the Title IV Funds Authorization Statement electronic form to update your Title IV status. You will have to wait until your Title IV status has been updated by Student Accounts to "Authorized" before submitting your Credit Transfer form.
  4. Submit Red Hawk Dollars Account Credit Transfer Form
    • Please Note: If you receive a “permissions error” when attempting to access the online Account Credit Transfer form – it is because the browser you are currently using is logged into another Google account that is different from your University account. Please sign out of that account and into your @montclair.edu account to complete your request.
    • $1,500 maximum transfer per form.
    • Subsequent Account Credit Transfer forms are only processed when Red Hawk Dollars account balances are below $100.00.
